Policies
4 Seasons Vacation Rentals & Sales abides by the North Carolina Vacation Rental Act. In compliance with this act and for the benefit of our guests, we include all pertinent information in our Vacation Rental Agreement. Please take the time to read the entire Vacation Rental Agreement which you will receive upon making a reservation or online on the reservation screen of each property. 

What to Bring:

  • Flashlight
  • Food including spices
  • Paper products (toilet paper, paper towels, detergent, coffee filters, etc.)
  • Personal toiletries (including soap)
  • Binoculars
  • Comfortable walking/hiking shoes
  • Fishing poles, bathing suit
  • Golf clubs, tennis raquets and balls
  • Sunscreen
  • Camera
Charges and Fees:
  • Rates are subject to change without notice.
  • Specials may not be combined with any other discounts and must be requested prior to the reservation being completed.
  • 7% sales tax + 3% occupancy tax (plus city occupancy tax for properties in city limits). $35 reservation fee. Optional Services.
  • A refundable security deposit or $45 Damage Deposit Waiver is required. Please be aware that by law we must deposit your security deposit and it can take up to 45 days after departure for a refund check to be issued. 
  • Signed lease and 50% of rental amount is requested to hold reservation. Balance due 30 days prior to arrival. We gladly take MasterCard, VISA, or Discover. No personal checks within 30 days of check-in.
Check-In:
  • Check-in time is 4pm or after. (You may purchase an early check-in.) For your convenience there is a key box at each cabin so no need to stop by 4 Seasons.
  • Please bring a flashlight if arriving after dark.
  • Print and bring your Check-In and Check-Out Instructions which includes directions.

Check-Out:

  • Check-out time is 11:00 a.m. prompt unless you have paid for a 1:00 p.m. check-out in advance. Unapproved late check-outs are billed at $30/hour up to a full nights rent.

  • Upon departure, return the cabin to the condition in which you found it.

  • Return all furniture, bedding, games, etc. to their proper location.

  • Wash and put away all dishes, pots, utensils, and empty coffee grounds from coffee maker.

  • Empty fridge. Dispose of all food. You may leave spices and unopened foods (housekeeping will donate them).

  • Clean grill grate and turn grill propane tank OFF.

  • Remove trash or housekeeping will be happy to for a fee.

  • Place the sheets and towels you used by the washer. Please start the first load. Laundering is covered in the Linen Fee. If you have not paid the linen fee please call our office to do so.

  • Leave the heat set at 55 degrees (November-March). Otherwise turn heat and AC to OFF.

  • Leave gas logs set to pilot with pilot light on.                                                    

  • Turn off all lights & fans.                            

  • If wood burning fireplace, close flue and leave ashes in fireplace.

  • Lock all windows and doors.                    

  • If Hot Tub, close and secure cover. Do NOT turn off.
  • Place house keys back in key-box & other keys in their proper place.
Cancellation/Early Departure:
  • All cancellations must be in writing. If property is rented for the same period as your lease, you will receive a refund of advance rents paid less $50.00 cancellation & $35.00 reservation fee. If property is not re-rented for the same period, tenant will not be entitled to reimbursement for any advance rent paid. The guest with travel insurance may be due a refund from the travel insurance company. If you have to check out earlier than your scheduled check-out date, please notify our office of this early departure.


Fireplaces:

  • Wood burning fireplace- place grate to back of fireplace (will draft better). Open flue, place starter logs on fireplace grate and light. Add dry fire logs as needed. Leave flue open until all coals have extinguished. Do not leave home or go to bed with fire still burning. Close flue when coals are extinguished. Out cleaners will remove burnt coals. Do not close glass enclosure while a fire is burning.

  • Gas log fireplaces –Each are different. Follow directions by fireplace or in this cabins info. Leave pilot lit.


Furnishings:

  • All units are equipped for basic needs including cooking and light housekeeping. All kitchens are equipped with a coffeemaker, microwave, range, and refrigerator, unless otherwise noted. Many have icemakers and dishwashers.

  • All units have washer, dryer and linens, pillows, bedspreads and blankets, unless otherwise noted.

  • Every effort has been made to assure accurate descriptions of the property; however, we cannot be responsible for the changes made by the owner to the furnishings or equipment in the homes. All equipment in the unit should be in working order. Please report any equipment problems to the office immediately at 336-246-2700. Every effort will be made to rectify the problem, but we cannot refund any amount of money due to a breakdown. Examples: TVs, DVDs, hot tubs, other appliances. We also are not responsible for refunding due to the home not being decorated or accommodated to your personal taste.


Hot Tub:

  • Children under 12 years old are NOT ALLOWED in hot tubs.

  • Hot tub covers must be secured over the hot tub at ALL TIMES not in use.

  • DO NOT walk or sit on the hot tub cover. You will be charged the cost to replace the cover if it is broken ($350-$650)

  • We have the chemicals set appropriately for the hot tub upon your arrival.

  • Special risks may be involved in using hot tubs and Tenant assumes ALL responsibility for himself and his quest for the consequences of those risks. The chemicals used to keep hot tubs sanitary may cause fading in some swimsuits and some individuals may experience skin rashes. Tenant agrees to waive any claim related to Tenants use of hot tub and acknowledges use is at Tenants own Risk.  

  • The Tenant also understands and agrees that he is responsible and liable for damages that occur to hot tub equipment through him or his guests misuse and/or negligence. Unsanitary condition(s) resulting from Tenants use requiring additional service such as water replacement, shock treatment, etc. is at the Tenants expense.

  • Tenants should contact 4 Seasons Vacation Rentals & Sales regarding ANY questions or concerns about hot tub.

  • Absolutely no pets in hot tubs. No bubble bath or foaming lotions.

  • Tenant should follow all hot tub instructions posted.

  • Do not make any other adjustments to include other chemicals, changing filter or adding water. Contact out office if you have any concerns. Adding water to hot tub will also change chemicals and could render them ineffective.

  • DO NOT place any items in hot tub including glass, cups, bags, book, cigarettes, etc.

  • Do not wear cut-off clothing in the hot tub. These things can clog the filter causing damage, which you will be responsible for.

  • Do not turn hot tub below 96 degrees. Hot tubs are not intended to be used as swimming pools. The lower temps can affect the chemicals.


Internet Access:

  • Internet access is available in most cabins. Check your Check-In & Check-Out Instructions for any access codes.

  • Free Internet access is available at Bohemia Coffee Shop in downtown West Jefferson (phone #336-846-1498). Also, at the Ashe County Public Library (phone # 336-246-2041).

  • If this cabin has Internet access and you are unsure how to use it, contact 336-877-1100 for Skyline/Skybest tech support for most cabins. River Get-A-Way & Livin The Dream cabins use 1-800-788-3600 for CenturyLink tech support. Let tech support know what device you are using (IPhone, Android, Windows, IPad, laptop, etc.)


Linens:

  • Linens- (sheets, towels, pillows, blankets) are provided in our rentals. Beds are made including sheets (except sleeper sofas, futons & upper bunks). The linen fee covers laundering service.


Pets:

  • Pets are welcome at SELECT rentals. We MUST be notified of pet at time of reservation. A non-refundable fee of $50 or more per pet will be charged. The tenant is responsible to remove all pet droppings from rental property. Tenant may be evicted without any refund for bringing a pet to a cabin NOT allowing pets (many owners or guests have severe allergies). PET MUST BE CRATED AT ALL TIMES TENANT IS NOT IN THE SAME ROOM AS PET. Pets must be leashed.


Satellite TV Use:

  • Most cabins have Satellite TV. Turn Satellite receiver on and use Satellite remote control to view guide and select channels.                                         

  • Direct TV Toll Free # 1-800-Directv

General:

  • Two night minimum required at most cabins. Holiday and peak seasons may require 3 night minimum with some cabins requiring a week minimum in high season. Ask for last minute one night exceptions.
  • No smoking inside any rental cabin.
  • Propane refills for gas grill are tenant's responsibility.
  • After hours lock-out calls to locksmith and related expenses are tenant’s responsibility.
  • Absolutely no use of ATVs/UTVs/horses on property.
  • Guests must approve with rental agency having groups visit rental cabin during occupancy to include but not be limited to reunions, weddings, and receptions. If approved, additional charges will apply.
  • Absolutely NO house parties. Must be 24 or older to reserve a property.
  • We are in a high elevation mountain area, thus children should be supervised at all times. It is prohibited to sit or climb on deck rails.
  • Do not leave children under 18 unattended at property for any reason.
  • Bad weather: If your vacation is during the winter months please come prepared to drive in snow and ice to reach your unit. It is recommended to drive 4-wheel drive vehicle and bring chains. Refunds will not be given due to road conditions nor do we offer a shuttle service to cabins.
